CASCADE TRACKER – HELP
ACCESSING AND USING THE CASCADE TRACKER ONLINE ASSET DISPOSITION REPORTING PORTAL
Cascade clients selecting asset tracking services can securely access their asset disposition information via our online web portal and API called “Cascade Tracker.” Cascade posts updates each evening as Jobs are received/inventoried and as Assets are updated with new disposition information.
Use Tracker to:
- Browse and search through Job processing and Asset disposition activity;
- Download Receipt Reports, Certificates of Destruction/Disposition Reports, or Rebate Reports in PDF, Excel, or CSV formats;
- Identify and act on processing holds for Assets due to password locks or other issues; and,
- Integrate with your own asset tracking software through the included API.
This guide provides information on how to navigate common features of this tool.
Login at: https://tracker.cascade-assets.com. Contact Cascade to receive your login activation. You can use your email address to access your account.
Learn more here if you are logging into Cascade Tracker for the first time (requires account setup by Cascade).
If you forgot your password, or if this is the first time you are logging into Tracker once your account has been set up, you can click on the “Forgot Your Password” button on the login page, or go to this page to get to the password reset screen.
Click on the “Reset Password” button to return to Tracker to set up your own password.
You can also update your password by clicking on your name in the top right of any page and selecting “Profile”. Update your contact information and password there.
Once you login, you will be taken to your account’s dashboard. This is where you can see the most recent Job activity, a list of any Assets that may be on a processing hold, and a graphical snapshot of your assets’ disposition activity so far this year.
A Job represents a pickup of assets performed at a particular site on a particular date.
- Order Date: When the Job was set up by Cascade.
- Collection Date: When Assets were collected from the site and/or Cascade performed onsite services at the site.
- Receipt Date: When Cascade received and weighed in the Assets at one of its facilities.
- Inventory Date: When Cascade completed an inventory of the Assets (Receipt Report issued).
- Disposition Date: When Cascade completed processing on all Assets in the Job. All data would be destroyed at this point and a Certificate of Destruction can then be issued.
Once you select a Job, you can see more details about the pickup, including a list of Assets inventoried into the Job.
Possible Status Types:
- Staging Area: a work in progress; in the queue for testing or recycling
- Sent to Recycling: a work in progress; designated for recycling but not yet demanufactured
- End of Life: demanufactured and data has been physically destroyed
- Tested Working: passed testing and data has been electronically sanitized; in queue for reuse/resale
- Shipped as Product: asset has been designated for reuse/resale and a rebate value has been assigned
Select an Asset from the list to see details on that device.
Information will be displayed as applicable to each asset:
- Device Information: type, make, model, serial number, asset tag, link to Job, information on any processing holds impacting further work on the Asset.
- Data Destruction: type of sanitization (electronic or physical), number of wipes, sanitization date, HDD serial number (when recorded or when pulled).
- Rebate Information (if resold): resale date, resale value, rebate earned.
- Processing Information: processed date (when demanufactured or tested), processor type & speed, RAM, HDD size, optical drive, NIC, audio card.
There are three different ways you can search for records.
Simple: To quickly search for an Asset (serial number, asset tag, Cascade ID, Job ID, type, make, model, common name, or Other ID), enter that information in the Asset Search bar at the top right of any page.
Bulk Search: If you want to look up a list of serial numbers, asset tags or Cascade asset IDs, copy your list into the Bulk Asset Search lookup. You can copy a list out of Excel and it will find all matching values.
Complex: Search for Jobs or Assets – select from any of the available search terms to return a set of matching Jobs or Assets that meet all those terms.
If there are no matching records, the system will indicate that and ask for you to expand your search.
Features of the search:
- Your search terms will be printed at the bottom of the search results and any reports generated from the search query, to help you remember what you searched for.
- You can go back and modify your previous search without redoing the entire search query from scratch. Select – “Expand Search Terms”
First, find the set of information to report on by running a query to give you the search results to include in your report (see “search query” section). Once you have a found set, use the Report Builder to generate your report, using the various options available.
Types of Reports:
- Receipt Report: available once Assets are inventoried at Cascade. Includes basic inventory information, such as type, make, model, serial number, asset tag, and user defined fields.
- Disposition Report: available once Assets/Jobs have been fully processed. Includes a Certificate of Destruction for included Jobs and Assets. If running a report for Assets, only the Assets in the found set with a “processed date” will be included. If running a report for Jobs, only those Jobs that have all their Assets processed will be included. A Job isn’t fully processed for disposition until all its assets have been processed.
- Rebate Report: available once Assets sell. This shows the “Resale Value” of each sold asset. The Resale Value is the price paid to Cascade for the Asset after any fees (not covered by the buyer) are deducted. The “Rebate Value” represents the value Cascade pays our customers for their sold assets (calculated by multiplying the rebate rate to the Resale Value).
Select the Profile option from the pull-down menu at your name. Use this feature to update your information and to change your password.
Users can access their information and update their passwords here. Access levels are managed by your Cascade Customer Service Account Manager and these access levels are set by the Chief Contact of the account.
Available customer user access levels:
- Customer Admin: able to see all records and perform all functions for the account.
- Limited Access Customer Admin: able to see all records except for financial information related to the account, including Rebate information.
- Site User: able to see records related to specified sites only.
- Limited Access Site User: able to see any records, except for financial information, related to specified sites only.
Access is granted to the API by a Cascade Administrator. Contact your Customer Service Account Manager to request access. They will update the user profile screen.
- If API access is revoked, then access to the API requests will be denied.
- API access requests will need to be renewed every year or they will expire.
When API access is granted, go to your User Profile (pull down menu for your name in the upper right section of the screen). Select “Create API Token.” The system will generate an API token which can be used to access your account data on Cascade Tracker.
The API allows you to see any of the records in Cascade Tracker directly in your asset management tool, when matched to the Manufacturer’s Serial Number of the asset. When Cascade Tracker is updated, the changes will be reflected on your connected tool. You can then perform queries and reports on matching fields setup within your own tool.
